Create and Manage Hubflo Templates

Create reusable templates for tasks, emails, contracts, notes, and workspaces

Hubflo templates let you save structures and content you use repeatedly, so you're not rebuilding from scratch every time. You can create templates for:

  • Project sections

  • Tasks

  • Emails

  • Contracts

  • Notes

  • Workspaces

To manage all templates, go to ⚙️ Settings > Templates.

Section & Task Templates

Use these to standardize project structures, onboarding phases, review cycles, recurring deliverables, and more. Once applied to a project, all task details can be edited without affecting the original template.

When you create a template, the task creator is automatically set as the assignee. You can remove the assignee before saving the template, otherwise that person will be assigned to the task every time the template is used.

Email Templates

Email templates are available when composing a new email or replying to an email.

  1. Navigate to Templates > Emails.

  2. Click + New template.

  3. Add a title, write your email content.

  4. Click Save.

Note: Email templates do not currently support dynamic placeholders (such as client name or company). Any personalization needs to be added manually when using the template.

Contract Template

  1. Go to Templates > Contracts.

  2. Click on + New template.

  3. Use our rich text editor create the contract.

  4. Toggle on "Default contract" if you'd like to make this your default contract on all proposals.

  5. Click Save.

Contract templates can be applied when sending a proposal. See Contracts for more on how to send and manage contracts.

Notes Template

Use notes templates to standardize how you log discovery calls, client meetings, or follow-ups.

  1. Go to Templates > Notes.

  2. Click + New template.

  3. Add a title and structure your note.

  4. Click Save.

Notes templates can be applied when adding a note to a workspace, contact, project, or task.

Workspace Templates

Create full workspace layouts for different types of clients or services.

  1. Head to Templates > Workspaces.

  2. Click + New template.

Note: You can also create a workspace template from an existing workspace. Open the workspace, click the three-dot menu, and select Convert into a template.

Edit or delete templates

  • Click on a template title to open and edit the content.

  • Click the trash (🗑️) icon next to a template to delete it permanently.
