Use Hubflo Automate to eliminate manual work and create a seamless experience for your team and your clients. Automatically create client portal workspaces, insert task sections, and control whether tasks are visible to clients—based on project or account stage changes.
Activate Hubflo Automate with your API Key
Go to Settings > Integrations.
Find your API Key at the bottom of the page.
Navigate to Hubflo Automate and click Activate.
Click Connect, paste your API Key, and hit Continue.
Set Up Your Automations
Hubflo Automate gives you 2 automation options:
Create a client portal workspace
> When a project or account moves to a specific stage, automatically generate a workspace using a selected template.
Create task sections (up to 6 times)
> When a project or account reaches a specific stage, automatically add a task section using your section templates.
Tip: Want clients to see newly added tasks by default?
✅ Toggle On "Make all tasks added to a project visible to the client"
This applies to all linked workspaces created via automation.
To set up the automations, head to the Configuration tab and toggle the automation type you want to use.
Auto-Create a Client Portal Workspace
This automation will automatically create a workspace (client portal) when a project or account moves to a specific stage. Workspace or section creation takes up to 60 seconds after a project stage change. If you don’t see it instantly—give it a moment.
Important: If any of these fields are left blank, the automation won’t be saved. You’ll see a warning next to the field (⚠️).
🛠️ Configuration Fields:
Field | Description | Required? |
Stage name | The exact name of the stage that triggers the workspace creation. Be sure to copy it exactly, including any emojis. | ✅ Required |
Workspace template name | The name of the workspace template you'd like to use. Copy this from Settings > Templates. | ✅ Required |
Invite client automatically? | Decide whether to automatically invite the client to the new workspace. Choose from: Yes / No. | ✅ Required |
Tip: You can choose not to invite the client automatically if you want to prepare the space first (e.g., review tasks or files).
Add a Task Section to a Project
Automatically add a task section (e.g., “Affiliate Influencer Tasks”) when a project moves to a specific stage. You can assign up to six different section templates.
Set Task Visibility for Clients (On/Off)
If you want newly added tasks to be automatically visible to clients, toggle this in the automation rule.
