Create and Manage Tags

Whether you're juggling contacts, projects, tasks, or time tracking, tags let you sort and filter your data.

Tags are custom labels that help you organize and find things quickly. They're like digital post-its you can attach to almost anything—contacts, companies, projects, tasks, or time entries.

You can create tags that describe:

  • The type of work you're doing (e.g., Marketing, Development)

  • A status or category (e.g., Urgent, In Progress)

  • A segment (e.g., VIP Client, Recurring Contract)

  • Or anything else that helps you make sense of your day-to-day

Why Use Tags?

  • Group similar items together

  • Filter your view to focus only on what matters

  • Add helpful context at a glance

  • Keep your data cleaner without cluttering your workspace

How to Use Tags

You can apply tags across:

  • Contacts

  • Companies

  • Projects

  • Tasks

  • Time Entries

Once you’ve added tags, you can use filters to instantly sort and find the exact info you need or create custom views in your Directory.

To edit or delete tags, head to Settings → Tags. From there, you can manage all your tags in one place—update names, change colors, or remove tags across all sections, including Contacts, Companies, Projects, Tasks, and more.

Apply Tags to Contacts

  1. Go Directory → Contacts.

  2. Select the contact's profile.

  3. To the left, under Tag, click the + icon to add or type to create a tag.

  4. Confirm by clicking the checkmark icon to save.

Tip: Want to tag several contacts at once? Use bulk edit—but remember: it replaces old tags, it doesn’t add to them.

Apply Tags to Companies

  1. Go Directory → Companies.

  2. Select the company's profile.

  3. To the left, under Tag, click the + icon to add or type to create a tag.

  4. Confirm by clicking the checkmark icon to save.

Apply Tags to Projects

  1. Go Projects

  2. Select the project

  3. To the left, under Tag, click the + icon to add or type to create a tag.

  4. Confirm by clicking the checkmark icon to save.

Note: Remember you can rename “Projects” to fit your industry or team’s workflow. To learn more about Projects head to Getting Started with Projects.

Apply Tags to Tasks

You can open tasks from rom the Task icon in the left sidebar of your Hubflo dashboard or directly from the Tasks tab inside a Project or Workspace.

  1. Select the task to open the card.

  2. In the tag field, start typing to create or select the tag(s) you want to apply.

Add Tags to Time Entries

Whenever you log a new time entry, you’ll see the option to add tags directly from the time entry card.

  1. Go to More → Time from the Hubflo sidebar.

  2. Click New Time Tracking.

  3. In the tag field, start typing to create or select the tag(s) you want to apply.

Tips for Better Tag Management

  • Use short, clear, and specific terms

  • Avoid overlapping tag meanings (e.g., don’t use both High Priority and Urgent if they mean the same thing)

  • Review your tag list periodically
