Getting Started with Tasks

Hubflo's Task Manager helps you stay on top of your day-to-day activities and collaborate seamlessly with clients and teammates.

With Tasks, you can:

  • Organize tasks into lists or project phases

  • Share files alongside actionable to-dos

  • Sync tasks with your calendar

  • Set recurring tasks

  • Share and assign tasks to clients via the Client Portal

Create a New Task

You can create a task in a few different places:

  • From the Task icon in the left sidebar of your Hubflo dashboard

  • Directly from the Tasks tab inside a Project or Workspace

When creating a task, you can:

  • Add a title

  • Add a due date and time

  • Set it as a recurring task

  • Choose a type: To-Do, Call, Event, Email, or Milestone

  • Link it to a Project or Workspace

  • Track time (🕒 on the top right)

  • Assign it to teammates or clients

  • Link it to a Contact in your Directory

  • Add tags

Note: Need to attach a document, image, or brief to a task? You can upload files directly to any task.

Create Subtasks

Break big tasks into smaller steps by adding Subtasks. To create a subtask:

  1. Open a task

  2. Click the ✅ double checkmark icon next to the task title

  3. Add your to-dos— these will appear as subtasks under the main task

Set Recurring Tasks

  1. To make a task recurring, click on Recurrence 🔁

    ⚠️ Important: Recurring tasks cannot be used for Subtasks or Section templates.

  2. Once that’s set, choose your preferred schedule:

• Weekly – repeats on weekdays and weekends

• Monthly – repeats on a specific day of the month

That's it! To edit the schedule or revert to a normal task, simply click on Recurrence and select None.

Notes: When you mark a recurring task as complete, the new task will keep all the same attributes as the original. Including the title, description, assignees, subtasks (reset to “To do”), files, tags, custom fields, task type (like email or milestone), estimated time, linked workspace, project, contact, and any attached workspace resources.

Only the due date will be updated, and comments will not be carried over.

View & Manage Tasks from the Dashboard

Click the Task icon in the left sidebar of your Hubflo dashboard to access your full task list. You’ll be able to:

🖥 Choose Your View

  • Table – great for detailed overviews

  • List – simple, focused task view

  • Calendar – see tasks by date (must be synced with your calendar)

🔍 Filter Your Tasks By

  • Date (Overdue, Today, Tomorrow, This Week, Undated)

  • Assigned To

  • Project

  • Status

  • Task Type

  • Tags

  • Contact Type

↕ Sort & Reorder

In the list view, sort tasks by ascending or descending date, by team member, or by contact.

⋯ Task Actions

Click the three dots next to any task to:

  • Add it to your calendar

  • Track time

  • Edit or delete it

Create Task Sections and Templates

Task Sections let you divide a project’s task list into clear, structured groups — like:

  • Project phases (e.g. Planning, Launch, Monitoring)

  • Task types (e.g. Admin, Design, Development)

  • Teams or roles (e.g. Legal, Finance, Client)

Create Task Sections in Projects

  1. Open a Project and go to the Tasks tab

  2. Click +New section

  3. Name your section or select a Section Template

Create Section Templates

Save time by creating reusable section+task structures. These templates can be added to any new project in seconds. You can still edit each task’s details once you've added them to your project (due date, assignee, tags, etc.).

  1. Go to ⚙️ Settings > Data > Templates > Sections & Tasks

  2. Write the Section title

  3. Click the "+" to add tasks under each section

To remove a section, click on its name and click on the trash icon.
