Create and Manage Custom Fields

Use custom fields to collect, store, and display the exact data that matters across Contacts, Companies, Projects, and Tasks.

What Are Custom Fields?

Custom fields are flexible data points that you define. You can add them to:

  • Contacts – e.g. secondary email, language, job title

  • Companies – e.g. industry, client type, company size

  • Projects – e.g. delivery date, industry, current phase

  • Tasks – e.g. difficulty, expected result, location

Custom fields help you:

  • Customize Hubflo to fit your business needs

  • Standardize how you collect and display key data

  • Improve visibility into service delivery for your team and clients

  • Connect Hubflo with external tools like Asana, ClickUp, or Google Sheets

Especially for client portals, custom fields give you the structure to show exactly what clients need to see.

How to Create a Custom Field

  1. Go to ⚙️ Settings → Data → Custom Fields

  2. Choose the category:

    • Contacts

    • Companies

    • Projects

    • Tasks

  3. Click + New Custom Field

  4. Enter:

    • Choose if the custom field will be for a contact or company

    • Field name (e.g. “Preferred Language”)

    • Description

    • Field type:

      • Text

      • Integer

      • Decimal

      • Date

      • List (Optional: dropdown-style fields like Difficulty (Easy / Medium / Hard)

Using Custom Fields

Once created, your custom fields appear in the Properties section of records.

  • Navigate to any Contact, Company, Project, or Task

  • Scroll to Properties

  • Fill in your new custom fields

Example Use Cases

👤 For Contacts

  • Billing contact name / email – for invoice routing

  • Client communication preference – Email, WhatsApp, SMS

  • Preferred meeting time – For timezone-aware scheduling

  • Decision maker? – Yes/No toggle for internal awareness

🏢 For Companies

  • Retainer tier or package – Bronze, Silver, Gold, Custom

  • Contract type – Fixed fee, Hourly, Performance-based

  • Annual revenue range – For sales segmentation

  • Team size – To estimate scope or tool needs

  • CRM source – LinkedIn, Referral, Website, Event

📁 For Projects

  • Service type – SEO Audit, Legal Review, Monthly Bookkeeping

  • Client priority level – Strategic, Standard, One-off

  • Customization level – Standard, High touch, White-labeled

  • Location / Region – If delivery varies by geography

✅ For Tasks

  • Billable? – Yes/No toggle for invoicing workflows

  • Time estimate – For capacity and planning

  • Urgency – ASAP, This week, Scheduled

Importing with Custom Fields

If you're importing data via Excel or CSV:

  • Create the custom fields in Hubflo first

  • In your import file, make sure the column headers exactly match the names of your custom fields
