Invite Clients & Manage Access to Workspaces

Here’s how you can share the client portal and control what they see

Once your Workspace is set up and your Client Portal is ready, it's time to invite your client in!

Invite Your Clients to Join the Portal

  1. Go to the Workspace you've created for your client

  2. Click “Invite client” in the top-right corner

3. Select add Existing client or Create & invite

4. Hubflo sends them an invite email with a secure link

Note: Your client just needs to click the invite button and choose a password. Hubflo will remember it for 90 days, so they won’t need to log in again each time.

Manage Client Access to the Workspace

By default, clients will only see what you’ve added to the Client Portal section of the workspace. Internal content (like task assignments or internal-only docs) remains hidden from clients unless they are shared.

In Client Portal > Clients, you can view the status of each client invitation, the date it was sent, and which workspace they've been granted access to.

Click on a client’s name to open their profile. From there, you’ll see everything in one place—notes, tasks, emails, events, forms, billing, and more—to help you stay organized and up to date.

You can manage access to the portal and its tools at any time:

  1. Go to the Workspace you've created for your client

  2. In "Client access" on the top-right corner, click Manage permissions

Important: Removing a client’s access to a workspace will revoke their ability to view all associated information, files, messages, and activity. They’ll no longer be able to collaborate or track progress on that project.

In Workspace Settings, you can easily control what your client can access. Hubflo offers flexible permission settings so you can tailor what each client sees:

  • Chatroom Access – Decide if a client can view and join the workspace chatroom.

  • Tasks Access – Choose whether clients see all tasks or only the ones assigned to them.

  • Folder Access – Select which folders each client can access (or restrict visibility).

To remove them from the portal, just click the remove (🚫) icon.

Let Clients Sign Up Directly to Your Portal

Need to onboard multiple clients quickly? Turn on Self-Signup to let clients register on their own — no direct invite needed. Once they sign up, a dedicated workspace is automatically created for them. This is ideal for agencies, consultants, or service providers working with high volumes of clients.

Go to SettingsGeneral Settings/Domain and toggle on "Allow clients to sign up without being invited." This will automatically activate a “Sign Up” button on your public portal page (e.g., yourcompany.hubflo.com).

Note: Self-Sign Up also automatically creates a contact record in your Directory.

Get the Client Portal Link to Share with Clients

Now, to share the portal link, go to Client Portal Workspaces in your internal (admin) view at app.hubflo.com.

  1. Click "Open client portal"

  2. Copy the Client Portal URL

  • You'll see a link starting with something like yourcompany.hubflo.com.

  • Copy that link — this is the one your client can use to access their workspace via the branded portal.

Tip: Ask your clients to bookmark the portal link for easy access in the future!
