Global Items are perfect for content that applies to all clients, such as:
Calendly links
Intake forms
Service overviews
Video intros or tutorials
Clients will see Global Items at the top of every workspace in their Client Portal.
They appear above workspace-specific content and stay consistent across the portal—making it a great place to post essential or evergreen resources.
How to Set Up Global Items
To get started:
Go to Settings ⚙️ → Client Portal → Global Items
Choose your content type:
🔗 Link – Direct clients to an external page (like your website, a document, or an app)
🌐 Embed – Display embedded content like videos, Calendly, forms, or service info
Add your title, link or embed code, and click Save
That’s it! Your Global Item is now visible in all client workspaces.
Note: Since Global Items are shared with all clients, avoid adding content that’s specific to one personor company.
How to Set Up Embeds
When adding an Embed, you can customize the way it appears:
Display Mode
Choose how your app or content is shown:Inline – Embed it directly into the workspace
Full Page – Open it in a dedicated tab for more space
Title & Icon
Add a clear title and choose an icon so clients know what to expectCommon embed ideas:
Calendly or scheduling tools
Form builders (Typeform, Google Forms, etc.)
Loom or YouTube videos
Notion pages or Google Slides
Dashboards or reports from tools like Databox or Looker Studio
Once added, Global Items like these appear across all client workspaces, pinned at the top of the portal.
💡 Your embedded app or content will open within your client portal, so your clients never have to leave the experience.
How to Set Up Links
When adding a Link as a Global Item, you can:
Add a title and a URL your clients can click
Choose an icon to make it visually clear (e.g., 📄 for documents, 📅 for calendars)
Tag your links to organize them by topic, department, or service
Link to a contact
Once saved, your link will appear across all client workspaces, right at the top of the portal.
Update or Remove Global Items
Yes! Just go back to Settings ⚙️ → Client Portal → Global Items to:
Edit an existing item
Remove something that’s no longer needed
Add new resources as your services evolve
Changes will update instantly across all workspaces.
Remember: Global Items are designed to be universal and consistent across all client workspaces.
If you need to share something that’s specific to one client, add it directly inside that client’s individual workspace, not from Settings → Client Portal → Global Items.
