Subscription & User Types

Account Owner
The main admin on the account. Has full permissions across billing, settings, and team management.

Regular Member
A standard internal user with access to all enabled modules and client workspaces.

Limited Member
A team member with restricted permissions—ideal for interns, reviewers, or assistants.

Contractor
A user with access to assigned tasks only—great for freelancers or external collaborators.

Accountant
A specialized role for team members managing billing, proposals, and financial data.

Platform Features & Functions

Custom Fields
Create your own fields to capture data in contacts, projects, forms, and more.

Import/Export
Bring in data from other platforms or export it for backup, reporting, or analysis.

Views and Displays
Switch between list, table, Kanban, dashboard, and map views depending on your workflow needs.

Client-Facing Tools

Client Portal
The branded front-end your clients see. Includes messaging, tasks, files, forms, and more.

Workspace
A private space within the portal linked to a specific client, company, or project.

Domain
The custom URL your portal lives on (e.g. clients.yourcompany.com).

DNS
The system used to connect your custom domain to Hubflo—configured through your domain provider.

Clients & Collaboration

Clients
External users you serve—invited to workspaces and access shared content.

Templates
Reusable setups for tasks, projects, proposals, messages, etc.—save time and standardize delivery.

Global Items
Shared resources (e.g., tasks, files, content) that can be reused across projects or workspaces.

Resource Center
An internal dashboard for your team—view open tasks, time tracking, reports, and more.

Messaging & Directory

Messaging
Communicate with clients in real time—supports text, file sharing, and auto messages.

Directory
An organized list of all contacts and companies in your Hubflo account.

Contacts
Individual people—can be linked to companies and added to workspaces.

Companies
Organizations or clients—can have multiple contacts and projects tied to them.

Forms, Documents & Billing

Forms
Custom forms for collecting info, onboarding clients, or gathering approvals.

SmartDocs
Smart, editable documents for contracts, NDAs, and more—supports e-signatures and collaboration.

Billing
Manage invoices, proposals, recurring billing, and payments all within Hubflo.

Catalog
Your service library—define what you offer and standard pricing.

Proposals
Create branded, interactive proposals with pricing and approvals.

Invoices
Send one-off bills linked to projects, milestones, or services.

Recurring Invoices
Automated invoicing for retainers or ongoing services.

Content, Time & Reporting

Content Library
A place to store reusable files, templates, and resources—ready to embed anywhere.

Time Tracking
Track hours per project, task, or team member—manual or automatic logging.

Expenses Tracking
Log and monitor expenses per project to calculate profitability.

Reports
Built-in reports to review time, billing, usage, and overall project health.

Internal Users

Refers to your team—anyone with a Hubflo login who manages client work. Includes account owners, regular members, and other internal roles.
