1 - Why track your time?

Time tracking will allow you to define internally how much time your teams spend on a project, and it will also allow you to re-invoice your time to your customers if you so wish.

๐Ÿ‘‰ Go to the "time tracking" module and create a new daily or weekly tracking; you can also do this directly from a project and/or task sheet.

๐Ÿšจ Time tracking is associated with a project or task, not a contact.

  • You can create a time directly from your project file by clicking on the ๏ผ‹ tab and then selecting "Time".

  • You will then be able to enter important information such as: a duration, a date, a category, a tag and an hourly rate (excluding VAT).


2. Setting your hourly rate and hourly cost

Before starting your time tracking, you can set up :

  • Your hourly rate excluding VAT = cost invoiced to the customer, for example โ‚ฌ100 per hour

  • The hourly cost excluding VAT = hourly cost excluding VAT of the person (you in this case).

From your settings and the "My profile" tab, you can set your hourly rate before tax and your hourly cost before tax.


3. Creating a time tracker using the module

You can track your times in "table" view, but also in "timesheet" view. The timesheet view lets you scroll through all the days in your calendar to see all the times you have added on a daily basis.

You can also add your times in week view by creating new lines.

The table view allows you to see the times one after the other. You can add filters such as dates, manager, or even categories to find a time easily.

You can scroll through your times, in "day" mode or "week" mode.

On the week module, you will be able to add daily time by clicking on "๏ผ‹ add a time" like this:


4. Create time tracking with a timer โฐ

  • In addition to manually creating your time tracks, you can also start the timer on Hubflo to record your times to the minute!

โ†’ The Timer is available on both the computer and the Hubflo mobile app.

  • To do this, you need to:

1.Select a project/task to associate with the time you're going to measure.

2.Click on play to start the timer.


5. Bill Back time to a client

On Hubflo, from the project sheet linked to time tracking, or directly via the billing module, you can create a new invoice:

๐Ÿ‘‰ Or create a new invoice that you can associate with your project:

๐Ÿšจ Once a time has been injected into an invoice, it cannot be re-invoiced, and will automatically be marked as "invoiced".

โ†’ At the "Lines" stage, you can click on the "Billed back" button to inject expenses related to your project that have not yet been billed :

โ†’ Once a time has been injected into an invoice, it cannot be re-billed, and it will be automatically marked as "billed"
