Everything You Need to Know About Creating Proposals

Your proposals are the showcase of your business to your prospects. Impress them with Hubflo's invoicing module!

In this article, we'll detail each step of creating a proposal, namely:


1. Create a new proposal

👉 Go to "New" then "Proposal" :


The title you give will be visible to the proposal recipient. You can link your proposal to one of your projects & select a previous one as a template.


2. Choosing the recipient

👉 Select or create the contact associated with your proposal

Check and/or modify the information and click "refresh" before continuing with your proposal creation:


3. Select the items and their rates

  • You can choose existing items from your catalog, click "add"

  • Or create a new item: choose the title, item description, quantity, type of service, unit price, or the applicable VAT %.

  • Organize your items using Titles to structure your proposal

  • You can move your section titles around, edit, and delete them:


4. Customize the payment terms

You can choose either One Time Payment or Multiple Payments. Once the proposal is accepted, all the invoices will be automatically created as drafts

👉 If you choose multiple payments, you can divide the amount of the proposal into as many steps as you want.


👉 If you do not know the exact invoice issuance date, you are not obliged to set a payment date but you'll have to enter details for example "Final invoice".


5. Proposal settings

👉 You can customize the introduction message that will be visible to your contact when viewing the proposal.

Choose when your proposal will expire, and add any comments that will be visible in the proposal PDF if needed.


6. Add a contract & enable electronic signature (or not)

👉 From ⚙️ then in "Templates," you can customize your service contract template that will be automatically integrated when creating a proposal.

  • At this stage, you can add a contract to your proposal (we strongly recommend it)

  • And you can enable electronic signature


7. Additional content

👉 Add even more value to your proposal by including links to your website, for example, customer cases, or a PDF catalog directly from your device, a link, DropBox, Google Drive, Google Photo or your mobile camera


💡 Tip: you can create your library of additional content from the "Content" module on the left of your screen!


8. Sending & Signing

👉 Your proposal is still in draft stage. At this step, you can: preview it, create it, and generate it in PDF.


By clicking "Create the Proposal" you can:

👉 Send it via Hubflo automatically, (you can send yourself a test email to see what it will look like)

👉 Or, you can choose to send a manual email


👉 You can enable automatic reminders sent by email :

💡 The contact to whom you address your proposal will be able to sign it electronically.

Once done, you will immediately receive an email, and the corresponding invoices will be generated as drafts on Hubflo!
