To access files in folders, head to the client workspace.
Go to Client portal > Workspaces
Select the workspace where the folder is located
Click the three dots to:
Preview, edit, or download the document
Move or delete the file if needed
Share it with teammates or back to the client
Add it to your Hubflo library for reuse
Add a shortcut from a workspace or form to other folders/workspaces
Move files from one folder to another
When editing a file, you can:
Edit the title (e.g. “Invoice – March 2024”)
Add tags for better searchability
Link the file to contacts (e.g. Sarah Davis)
Link the file to projects for tracking and context
Move and Add Shortcuts
Whether you’re sharing a file from a chatroom or tidying up a workspace, you can now add shortcuts or move files exactly where they need to be.
How to Move Files
You can move files by clicking the three dots next to the file and Move to.
Keep in mind that when you move files from one place to another, the file disappears from its original location. You can move files:
From the root workspace into a folder or subfolder
From a folder back to the root workspace
From one workspace to another
Only one version of the file exists per workspaces unless you create shortcuts.
Note: If you try to move the file to the same location where it already exists, nothing changes.
How to Add File Shortcuts
You can add a shortcut for any file shared in a chatroom or form directly into a workspace. Here's how:
From a Chatroom to a Workspace
Go to the Messaging section and select the relevant chatroom.
Find the file you want to copy.
Click the copy icon next to the file.
Choose the workspace where you want to place the file.
Select a folder (or a subfolder) within that workspace.
Click Copy.
Once the file is copied, you’ll be redirected to the folder location, so you can confirm the file is exactly where you want it.
Note: The original file stays right where it is, in the chatroom, so you’ll always be able to refer back to it if needed.
From a Form to a Workspace
Go to Forms.
Select the form that contains the file you want.
Click on the Answers tab.
Find the file you want to copy.
Click on File attached.
Click the copy icon next to the file.
Choose the workspace where you want to place the file.
Select a folder (or a subfolder) within that workspace.
Click Copy.
Once the file is copied, you’ll be redirected to the folder location, so you can confirm the file is exactly where you want it.
⚠️ If you edit a file that has been added as a shortcut, your changes will also apply to the original file.
Bulk Actions for Files
You can bulk edit, move, and add file shortcuts using the bulk action toolbar.
Hover over any file in your workspace and use the checkboxes to select them.
Once items are selected, a bulk action bar appears at the bottom of the screen with the options to Edit, Move or Add Shortcut.
Click Edit to add Tags, Link contacts or projects, or toggle on the "Add to library" option.
Click Move to open the destination selector. You can move selected items to another folder within the same workspace, or to another workspace, if you have access.
If you’d rather reference items without removing them from their original location, use Add Shortcut instead.
