Whether it's a product update, service notice, or friendly reminder, Announcement Chatrooms let you broadcast one message to many clients without starting a bunch of 1:1 chats.
Think of them like one-way WhatsApp broadcasts:
You write one message
It goes out to multiple clients via email and also shows in their portal
Only you can send messages in that thread
Clients can't reply and they won't see who else received the message
To create an Announcement Chatroom, follow these steps:
Go to Messaging
Click 📢 Announcement Chatroom (next to “New conversation”).
Give your chatroom a title
Add internal users who should be notified (they’ll get email alerts for any broadcasts sent out).
Choose who you want to message:
Before you send your message, you’ll see a confirmation similar to:
“You’re about to send this message to 12 clients. They’ll receive it by email and see it in their client portal.”
And that's it!
Who can create and access these chatrooms
Admins and regular members can create Announcement Chatrooms
Internal users can access chatrooms based on their permissions:
→ If the "Can access all chatrooms" setting is on, they'll automatically see all regular and announcement chatrooms
→ If not, they'll need to be added manually to each chatroom they should access
How does it work for clients?
Clients see the message on their portal or via email
They can’t reply, by email, SMS or in the chatroom
The chatroom shows an "announcement" badge and a message saying it’s for announcements only :
Our recommendation:
Create one default “General Announcements” chatroom with all your clients to keep them informed.
Optionally, create additional announcement rooms by client group, project type, or service to send more targeted updates.
