How to send an invoice

Once your invoice is ready to issue, you have several options for getting it to your client.

Sending options

Send via email (using your connected inbox)

If you've connected your email inbox to Hubflo, you can write the email yourself or use your Introduction message as a starting point. The invoice is included as a secure link.

  1. Click Send

  2. Select Send by email (manual)

Note: Edit the default Introduction message from Settings > Billing.

Send with Hubflo's email template

Click Send → Via Hubflo (automated email) to send the invoice automatically using a professional template. Your client receives a secure link to view and pay the invoice directly.

Tip: Before sending to your client, send a test email to yourself to preview exactly what they'll see.

Share a link

Click Send > Copy link to copy the invoice link and share it via any channel like text message, WhatsApp, another email tool, or directly in your client portal.

Download as PDF

Download the invoice as a PDF and attach it to your own email if you prefer full control over the message.

What your client sees

Clients can access an invoice in two ways:

  • Via the invoice link with no login required. They can view the invoice, download the PDF, and pay online if you've enabled Stripe or added a payment link.

  • Via the client portal for clients who have portal access. They can find all their invoices by logging in and going to Billing in the sidebar.

Important: The Billing tab in the client portal stays hidden until you've issued at least one invoice or proposal to that client. By default, only the invoice recipient can see it.

To give all contacts within a company access, go to Settings → Client Portal → Appearance.

When a client opens their invoice, they see:

  • The invoice details, line items, and total

  • The payment due date

  • A button to download the invoice as a PDF

  • A Pay now button if you've enabled Stripe or added a payment link

Payment reminders

Once an invoice is issued, Hubflo can send automated follow-ups to clients who haven't paid yet.

To manage reminders for a specific invoice:

  1. Open the invoice

  2. Click Manage Reminders in the left sidebar

  3. Toggle reminders on or off as needed

💡 Reminder emails clearly state that they are automated and are written in a friendly, professional tone.
