Notifications and reminders in Flows

Who gets notified at each stage of a Flow, which reminders are sent automatically, and when nothing is sent.

Hubflo notifies the right person at each stage of a Flow, so you don't have to chase anyone by hand. Here's who receives what.

What your clients receive

Clients get an email, plus a push notification if they use the mobile app of your portal:

  • A step opens for them. When you start the Flow, each time the previous step is done, and when you reassign their role to someone else (the new person is notified, and the previous person's link stops working).

  • Reminders while a step is waiting on them (see below).

  • You reject their step. The email includes the reason you wrote, so they know what to fix.

  • The Flow is completed.

Clients are not notified when you approve their step: the next person in line is.

What your team receives

Team members get an in-app notification in Hubflo, plus a push if they use the Hubflo app:

  • A step opens for them. When a step assigned to an internal role becomes the current one, or when you reassign that role to them. They get an email too.

  • Reminders while a step is waiting on them, by email too (see below).

  • A step is waiting for your approval. The person who started the Flow and the contact's owner are notified when a client submits a step that needs your review.

  • The Flow is completed. The person who started it, the contact's owner and every team member with a role in the Flow receive an email and an in-app notification.

Reminders

Reminders go to the person assigned to the current step, and only to them. Clients get an email and a push; team members get an email, an in-app notification and a push. They count from the last time the step was sent to that person: when it opened, when you rejected it, or when you reassigned it.

Step without a deadline: a reminder 3 days later, a last one 7 days later. Then nothing more.

Step with a deadline: a reminder on the due date, and an overdue reminder 3 days after it. If the due date is more than a week away, a first reminder is also sent after 3 days. Then nothing more.

A step never gets more than 3 reminders, and never more than one a day. If the person still hasn't moved, it's up to you: the Flow page shows which step is waiting on whom.

Tip: set a deadline on the steps that matter most. It gives your client a clear date, and the reminders follow it.

When nothing is sent

  • When you skip a step: the person it was assigned to isn't notified.

  • When you cancel a Flow: participants simply lose access to their link, and reminders stop.

  • When you reset a participant's link: nothing is sent, you share the new link yourself.

  • To participants whose step isn't open yet: they hear from Hubflo only when it's their turn.
