# Flows FAQ

Quick answers about templates, roles, steps, and what Flows doesn't do yet.

## Can I edit a template once Flows have started?

Yes, and it only affects Flows you start afterwards. A Flow is a snapshot of the template at the moment you start it, so Flows in progress keep their steps as they were.

## Can I change the steps of a Flow in progress?

Not yet. You can edit its title and welcome screen, skip a step, or reassign a role. To change the steps, cancel the Flow and start a new one from the updated template.

## Can the same person play two roles?

No. One person per role, for contacts and team members alike. If one person should handle two steps, assign both steps to the same role.

## Can two people work on the same step at the same time?

No. Steps open one after the other and each step belongs to one role. Give each person their own step, for example "Client documents" then "Spouse documents".

## What if a role isn't needed for one client?

Every role used by a step needs a person when you start a Flow. Roles that no step uses are simply left out. If a template has a "Spouse" role and the client is single, create a copy of the template without the spouse's steps, or skip them as they come up.

## Can my client's colleagues see their Flow?

No. Each participant only sees the Flows they're part of, by email or in the Flows tab of your portal. Unlike smartdocs, there's no option to share them with every contact of the same company: a Flow often holds personal documents.

## My client forwarded their link to someone else. What can I do?

Reset their link from the participants of the Flow. The old one stops working right away, and you share the new one with your client.

## Does a step complete itself when my client pays or signs?

Not yet. A step is completed by the person it's assigned to, or approved by your team. Add a step for the document to sign or the invoice to pay, and have your team mark it done.

## Can a step depend on an answer?

Not yet. Put the step in the template and skip it for the clients it doesn't apply to.

## How many steps can a template hold?

Up to 200.

## Why can't I archive this form?

Because a template uses it. Hover the Archive button to see which ones, pick another form in those steps, then archive.

## What happens when I cancel a Flow?

It stops for everyone. Participants lose access to their link, nobody is notified, and what was already submitted stays visible on the Flow page.

## Can I delete a Flow?

No. Cancel it instead: it stops for everyone, and its history and what was submitted stay visible.
