# How to create a Smartdoc

Smartdocs let you create legally binding documents that clients can fill out, sign, and submit, right from your client portal.

Before you start, prepare your document in an external tool like Word or Google Docs and export it as a PDF. Once uploaded to Hubflo, fields are detected and placed automatically, you just review and adjust as needed.

To get started, go to **Smartdocs** in the left sidebar:

1. Click **New Smartdoc**.

2. Upload your document.

## Add fields

Fields are detected and placed automatically when you upload your PDF.

Once fields are placed, review them and adjust as needed, drag any additional fields from the right-hand panel, or move, resize, or remove ones Hubflo placed.

> **Success:** How well auto detection works depends on the document's layout. If fields aren't detected right after upload, click **Auto detection** to trigger it manually.

Fields include the basics like name, address, email, date, signature, and initials, checkboxes, radio buttons, and heading labels for section titles.

### Configure each field

Hover over any field to open its settings. From there you can make it required, add placeholder text, set conditions, change the font, or copy it so it shows on all pages of the document.

## Add multiple signers (optional)

If more than one person needs to sign the document, click **First Party +** in the field panel to add another signer.

> **Success:** **Tip:** Rename each party by clicking the pencil icon next to their name so it's clear who signs what.

You can add as many parties as needed. Once you've added a party, assign the relevant fields to each one.

### Set a signing order (optional)

Once you've added your parties, you can also require them to sign in sequence rather than all at once, see [Sending to multiple parties](https://support.hubflo.com/en/articles/15255796-how-to-send-a-smartdoc.md#heading-1-sending-to-multiple-parties) for how to turn that on.

## Preview and save

Click the eye icon in the top right to preview the Smartdoc exactly as your client will see it. When you're happy with it, click **Save**.

> **Error:** **Important:** Once a Smartdoc has been sent, it can't be deleted, only archived. Smartdocs that have never been sent can still be deleted from the list. Make sure you're happy with a Smartdoc before sending it.

## Map fields to CRM attributes (optional)

After saving, you can connect your Smartdoc fields to [Hubflo CRM attributes](https://support.hubflo.com/en/articles/11385656-getting-started-with-the-hubflo-directory.md#h_f6d7e494f2) so that when a client fills out and submits the Smartdoc, their profile is automatically updated with that information.

1. From the Smartdocs list, click the plug icon (🔌) next to your Smartdoc.

2. In the mapping panel, match each field to its corresponding CRM attribute, for example, link the **First Name** field to the First Name attribute.

3. Save your mapping.

> **Warning:** **Note:** If a CRM attribute already has a value, it will pre-fill in the Smartdoc when the client opens it. The client can still edit pre-filled fields before submitting.
