[New] Everything You Need to Know About Client Portals

This new feature allows you to create customizable client portals directly from your project files.

Impress your clients and drastically reduce the chaos of emails, calls, and other WhatsApp messages 🎉

As soon as you have a new client, you can create for them, in just two clicks (from the project file), a beautiful online space in your own style.

1 - What is a portal? What can I share on it?

  • What is a Client Portal on Hubflo?

A client portal is a customizable space from which you can share project-specific information with your clients.

It provides centralized access to billing history, notes, important documents, and links.

A portal is associated with a project only 🙂

If you decide not to associate a project: it will not be possible to synchronize quotes/invoices and subscriptions related to your client.

  • What can I share on the Client Portal?

All deliverables, files, useful links, and other project milestones.

Billing history: all quotes, invoices, and subscriptions.

This feature aims to simplify communication and collaboration with your clients! 🎉


1 - Create a client portal

With Hubflo Client Portals, you can streamline collaboration with your customers and elevate your client experience.

It provides you and your customers with a single digital hub to share documents, project updates, invoices, messages and more.

How it works

  • Your client portal will be hosted on a dedicated Hubflo subdomain that you can customize (like business_name.hubflo.com)

  • You can customize the client portal with your logo, cover picture, and set your brand color.

→ When they're not logged in, clients will see your public page.

You can add a custom message to this page to present your business and services, and give clients instructions about the portal :

3 - What clients see when they log in

  • Once they log in, clients will see all the portals you've shared with them.

Think of portals as master folders to share specific resources with specific clients. If you’re working on a project basis, it’s best to create one portal per project.

Alternatively, you can create a single portal for a client or a portal with generic resources to share with all clients.

Here is the general structure of a client portal from your customer’s perspective:

Billing and Messaging (coming soon) sections are set at the root level of the client portal and will be visible to all clients (provided that you sent them an invoice or started a chat with them).

Aside from portals, your clients will also have access to a billing section with all the proposals, invoices, and subscriptions you have created for them.

If you have enabled Stripe, they can click on an invoice and pay it online directly within the portal.

How it works on your side

Step 1: Configure your client portal


Step 2: Create a portal

Your global client portal is ready! You can now create a portal for a new customer.

Simply head to the portals section and click on “New Portal.”

If you’re working on a project basis, we recommend starting by creating the project (and the client). The project page will be your back-office area, while your portal will be the client-facing part.

  • When you’re on a project page, simply click on "Client Portal."

  • Then add anything you want, like a project recap note, onboarding documents, or relevant links.


Step 3: Share the portal

Simply click on “Share.” Select the client. Your client will receive an invite via email:

  • They only have to click on the button and pick a password.

  • Their password will be stored for 90 days, so they don’t have to enter it every time.

  • When a client joins your portal, the yellow indicator will turn green.

  • This means that your client has successfully set up an account on your portal.

  • You can now also share other portals with the client for other projects or a portal with general resources.

  • Your customers can log out of your customer portal as follows:
