In Hubflo, email synchronization is personal—each user connects their own inbox. However, any emails that involve shared contacts or project participants may appear in contact or project views by default, unless you choose to hide them.
Here's how to manage what’s visible to others and keep certain messages private when needed.
Detach an Email from a Project
If an email synced to your inbox automatically appears in a project but isn't relevant, or you'd prefer to keep it private, you can detach it.
To do this:
Go to the Emails section inside a project file
Click the (x) next to the email you want to remove
This action only removes the email from the project view. It’s still accessible in your synced inbox.
Disable Email/Event Sync on a Project
By default, emails and events exchanged with project-related contacts are linked to the project file. If you don’t want this behavior:
Open the project file
Click the 🔗 icon next to Conversations
This allows you to exclude emails/events from syncing at the project level—even if you stay in touch with the contact elsewhere.
Turn Off Automatic Visibility for Your Emails
If you prefer none of your synced emails to appear in shared contact or project views unless you choose to share them:
Go to Settings → My Profile
Toggle off the “Set my emails and meetings visible by default” option
When this setting is off, your emails stay private unless you manually share or attach them to projects or contacts.
Filter to See Only Your Emails
Need to focus on just your own communications?
In any project’s Emails tab:
Click the 👁️ icon next to Conversations to filter and view only your email exchanges
This hides your teammates' emails from your view, making it easier to focus
