Set up your personal profile

Learn how to set up your Hubflo profile: personal info, email and calendar preferences, notifications, time tracking, and language settings.

Before you start working with clients in Hubflo, take a few minutes to set up your profile. These settings apply to your individual user account only and do not affect other team members.

Go to Settings > My profile to manage your personal information and account preferences.

Note: Changes on this page are not saved automatically. Click Update at the bottom of the page to save.

My information

Fill in your name, phone number, job title, and time zone.

Note: Your business email is set at account creation and cannot be changed from this page. If you need to update it, contact us at [email protected].

Emails and calendar

These two settings are easy to miss but have a real impact on your workflow:

  • Automatically add contacts from calendar events: When enabled, Hubflo creates a contact record for anyone you meet with through your synced calendar. Useful if you want your contact list to stay current without manual entry.

  • Show emails and meetings by default: Controls whether your emails and meetings are visible to teammates on contact and project pages. Turn this on if you're working collaboratively and want full context in one place.

You can also set up an email signature here. It will appear on all emails you send from Hubflo. Use the built-in AI tools to rewrite or translate it.

Notifications

Three toggles control email notifications: unread messages, daily recap, and weekly recap. You can enable any combination.

The New message notifications dropdown is worth paying attention to as it controls which conversations trigger real-time updates:

  • All notifications for every contact in the account

  • Owned contacts only for contacts assigned to you

  • None (mentions only) to be notified when someone mentions you directly

Time tracking

Click View more settings to expand this section.

  • Hourly rate is the rate you charge clients, excluding tax. Used in billing and invoicing.

  • Hourly cost is your internal cost per hour. This stays internal and is used for profitability tracking.

  • Show timer in the header is to display the timer in your top navigation bar.

Location settings

Set your language, country, and preferred time format (12-hour or 24-hour).
